How does the call itself work?

How to join a call
There are two options on how to join a call:
- Link from the email you received - everyone, who is invited to a time slot receives an email, which contains a join link. The participant and all researcher roles receive this link.
- Directly from your dashboard - All Moderators and Note-takers as well as Observers, who are members of your UXtweak team can join any of their assigned time slots directly from the Conducting step of the planning of your Live Interview.
If you want to join the call from a mobile device, you will need the Zoom mobile app.
When does the call start?
The call starts at the set time. The first to join must be one of the Moderators. After they join the participant, Note-takers and Observers can join as well. The Moderator can start the call a few minutes before the set time, as long as there is no other time slot active in the same Live Interview.
How is the call recorded
Despite the call being hosted using a Zoom integration, the call is recorded by UXtweak. The recording of the call begins as soon as the first Moderator joins and ends when the Moderator ends the call.
What can you do in the call
The privileges and options differ based on your role:

Note taking
Any Moderator or Note-taker can participate in creating the notes from the call. The notes are shared among everyone with one of these two roles. All notes are time stamped and you can add hashtags to them, to ease the analysis of the insights afterwards. These notes can be edited in the results even after the call has ended.
If you need to, you can switch the notes to “Only mine” to filter out notes from your colleagues.
What happens if someone doesn’t show up
There are three main cases of someone not showing up:
Participant not showing up
If a participant doesn’t show up 15 minutes after the beginning of the time slot, the time slot is automatically marked as a no-show.
Moderator not showing up
If you are a participant and your Moderator is not showing up, please be patient. If they don’t show up 15 minutes after the beginning of the time-slot a button will appear for you. By clicking “I was here” you can clearly mark that you have waited for 15 minutes. After clicking this button, feel free to leave the call.
One of your team members not showing up
You can send reminders to your team members directly from the call after the call begins.
