What is done in the Schedule step of the planning?
In this help, we'll discuss how to use the Schedule step to prepare time slots for your interviews by:
- Setting schedule options
- Building your calendar
- Finalizing time slot details
Setting schedule options
Your schedule has a few general settings, which influence the general setup of the schedule:
- Number of participants - the total number of time slots combined from all added sources.
- Time slot length - the length of the time slot in the schedule. If the interview is longer than the allocated time, it won’t be automatically terminated.
- Break between time slots - an enforced space between time slots in the schedule.
- Slots lock beforehand - this attribute determines when the slot locks if there isn’t anyone registered for it. For example if you set it to 24h, the participants need to register at least a day ahead of the time slot.
Building your calendar
The calendar section is where you actually create time slots of availability for your interview. You can change the time zone of the calendar for easier setup.
To create the first time slot, clicking on any time in the yellow study window or after the window. If you click on a time after the window, it will move the window accordingly.
The size of the study window is determined by the number of timeslots. If you would like to extend the study window you need to increase the number of time slots.
To add time slots with the same set up you can drag from the existing time slot by its top or bottom edge.
To move a time slot to a different week, you can either reschedule it in the time slot details or Press CTRL + SHIFT + ARROW LEFT / ARROW RIGHT to move the selected slot to the previous / following week.
The time slots are color coded based on the participant source, which is connected to the given time slot. Each time slot can have only one source.
Finalizing time slot details
To access the details of a time slot, simply click on. In the time slot details you can:
- Reschedule or delete the timeslot
- Choose one of the available recruiting sources
- Invite Moderators, Note-takers and Observers. Each time slot has to have at least one Moderator. You can learn more about the available roles here.
When you have no time slot selected, you can see the overview of all time slots created for this interview. Here you can see breakdown of role assignments and more. Any change made in overview is applied to all time slots.
